Responsibilities
- Manage multi-line phone system with 50+ daily calls and flawless message routing
- Coordinate executive calendars, meetings, and international travel arrangements
- Oversee visitor protocol including security badge issuance and lobby management
- Process incoming/outgoing mail, packages, and office supply inventory
- Execute administrative tasks: expense reports, data entry, and document preparation
- Collaborate with facilities team for office maintenance and vendor coordination
- Support HR initiatives onboarding and offboarding processes
Qualifications
- 3+ years receptionist or administrative experience in corporate/financial services
- Proficiency in Microsoft Office Suite and video conferencing platforms
- Exceptional written/verbal communication and conflict resolution skills
- Ability to manage sensitive information with discretion and confidentiality
- Experience with scheduling tools (Calendly, Outlook) and CRM systems
- Proven ability to multitask in fast-paced environments with competing priorities
- Associates degree or equivalent professional certification preferred
