Responsibilities
- Manage calendars, schedule appointments, and coordinate meetings for department heads
- Handle incoming communications, including emails, phone calls, and correspondence
- Process expense reports, invoices, and maintain financial records accurately
- Prepare, edit, and distribute professional documents and presentations
- Order office supplies and maintain inventory for 15+ staff members
- Assist with onboarding new hires and coordinate training sessions
- Support special projects including data analysis and report compilation
Qualifications
- High school diploma or equivalent; associate's degree preferred
- 2+ years of administrative or office support experience
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
- Exceptional organizational skills with attention to detail
- Strong written and verbal communication abilities
- Ability to multitask and prioritize in a deadline-driven environment
- Basic knowledge of bookkeeping or accounting principles
- Valid California driver's license and reliable transportation
