As the Administrative Assistant for our weekend shift, you will be the face of our company to our clients and partners. You will ensure our office runs smoothly, efficiently, and professionally during critical business hours on Saturdays and Sundays.
Responsibilities
- Front Desk Management: Greet visitors and clients warmly, manage the reception area, and answer multi-line phone systems with a professional and welcoming tone.
- Calendar & Scheduling: Coordinate internal meetings, manage the executive’s weekend schedule, and schedule vendor appointments.
- Data Entry & Records: Maintain accurate digital and physical records, file documents, and perform general data entry with a focus on zero errors.
- Communication: Draft and send professional emails, respond to inquiries, and act as the primary point of contact for weekend visitors.
- Office Supplies: Monitor inventory levels, order necessary office supplies, and ensure the work environment is clean and organized.
- Report Preparation: Assist in compiling weekly reports and preparing presentations for the management team.
- Event Coordination: Support the planning and execution of any weekend corporate events or client gatherings.
Qualifications
- Education: High school diploma or GED required; Associate’s degree or administrative certification is a plus.
- Experience: Minimum of 2 years of administrative or office support experience.
- Availability: Must be available to work weekends (Saturday and Sunday).
- Technical Skills: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with CRM software is preferred.
- Communication: Excellent written and verbal communication skills in English.
- Attention to Detail: Strong organizational skills with the ability to multitask and prioritize effectively.
