As the Weekend Administrative Assistant, you will be the face of our office during our peak weekend hours. We are looking for a proactive individual who can manage multiple tasks efficiently.
Responsibilities
- Front Desk Management: Greet visitors, answer multi-line telephones, and manage the reception area to ensure a professional first impression.
- Schedule Coordination: Manage calendars, schedule appointments, and coordinate meeting rooms for weekend stakeholders.
- Data Entry & Records: Maintain accurate digital and physical records, including filing, archiving, and updating the CRM database.
- Communication: Draft and distribute internal memos, emails, and professional correspondence with a high degree of accuracy.
- Office Support: Process incoming and outgoing mail, handle courier services, and manage office supplies inventory.
- Event Coordination: Assist in the setup and breakdown of weekend events and conferences.
Qualifications
- Education: High School Diploma or GED required; Associate’s degree or Certificate in Business Administration is a plus.
- Experience: Minimum 1-2 years of administrative or receptionist experience preferred.
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace.
- Availability: Must be available to work weekends (Saturday and Sunday) on a consistent basis.
- Skills: Strong organizational skills, attention to detail, and excellent written and verbal communication abilities.
- Professionalism: Ability to maintain confidentiality and handle sensitive information with discretion.
