Responsibilities
- Manage Calendar & Scheduling: Coordinate complex calendars, schedule appointments, and arrange travel itineraries for senior staff.
- High-Volume Data Entry: Perform accurate and timely data entry into various CRM systems and spreadsheets with a focus on minimizing errors.
- Communication Hub: Serve as the primary point of contact for phone inquiries, routing messages efficiently, and drafting correspondence.
- Document Management: Organize, file, and digitize physical and electronic documents to maintain an efficient office archive.
- Meeting Support: Prepare meeting agendas, take detailed minutes, and distribute follow-up action items to stakeholders.
- Office Administration: Manage office supplies inventory, handle incoming mail, and assist with vendor coordination.
Qualifications
- Experience: Minimum of 2 years of experience in administrative assistance, office support, or data entry roles.
- Technical Skills: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) with advanced Excel skills (pivot tables, v-lookup) a plus.
- Typing Speed: Demonstrated ability to type at least 45-50 WPM with high accuracy.
- Education: High school diploma or GED required; Associate’s degree or relevant business certification preferred.
- Soft Skills: Exceptional organizational skills, strong attention to detail, and the ability to multitask in a fast-paced setting.
- Reliability: Must be punctual, professional, and able to work independently with minimal supervision.
