Responsibilities
- Manage multi-line phone systems, screening calls, and routing inquiries to appropriate departments
- Coordinate complex calendars, scheduling meetings across time zones, and arranging travel accommodations
- Process confidential documents, maintain filing systems, and ensure data accuracy
- Prepare detailed reports, presentations, and correspondence using Microsoft Office Suite
- Oversee office supplies inventory, procurement processes, and vendor relationships
- Assist with onboarding new employees and training on administrative procedures
- Act as primary point of contact for overnight staff and external partners
Qualifications
- Minimum 2 years of administrative experience in a corporate setting
- Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint) and office equipment
- Exceptional organizational skills with ability to prioritize competing tasks
- Strong written and verbal communication abilities
- Proven experience handling sensitive information with discretion
- Flexibility to work overnight shifts (11 PM - 7 AM) and occasional weekends
