Job Overview:
The Administrative Assistant will serve as the backbone of our daily operations, ensuring smooth communication between departments and managing key administrative functions. You will be the first point of contact for clients and visitors, representing our brand with professionalism and poise.
Responsibilities
- Calendar Management: Manage complex calendars, schedule appointments, and coordinate meetings, including travel arrangements.
- Communication: Handle incoming and outgoing correspondence via email, phone, and mail; draft professional documents and memos.
- Office Operations: Maintain office supplies inventory, manage filing systems (digital and physical), and ensure the reception area is organized and welcoming.
- Data Entry: Accurately input and update data into CRM systems and spreadsheets; prepare reports as needed.
- Event Coordination: Assist in organizing company events, team-building activities, and client meetings.
- Vendor Relations: Liaise with external vendors and service providers regarding office maintenance and services.
Qualifications
- Experience: Minimum of 2-3 years of experience in an administrative or executive assistant role.
- Technical Skills: Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook) and experience with CRM software (e.g., Salesforce, HubSpot).
- Communication: Excellent verbal and written communication skills with a polished phone manner.
