Your Mission:
As our Administrative Assistant, you will be the face of our organization. We need someone who can manage complex calendars, handle sensitive information with discretion, and keep our team focused on what matters most.
Responsibilities
- Manage complex calendars, schedule meetings, and coordinate travel arrangements for executive leadership.
- Process invoices, manage expense reports, and maintain accurate financial records using QuickBooks or Excel.
- Greet visitors and answer incoming calls, directing inquiries to the appropriate department or staff member.
- Prepare and distribute internal communications, memos, reports, and presentations with a high degree of accuracy.
- Maintain and organize physical and digital filing systems to ensure easy access to information.
- Assist in the planning and execution of company events and team-building activities.
- Act as the primary point of contact for client correspondence and general office inquiries.
Qualifications
- High school diploma or equivalent; Associate’s degree or certificate in Office Administration is preferred.
- Proven experience (2+ years) as an Administrative Assistant or in a similar support role.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace.
- Excellent verbal and written communication skills with a professional demeanor.
- Strong organizational skills with the ability to prioritize tasks and manage time effectively.
- Experience with CRM software or project management tools is a plus.
- Ability to work independently while collaborating effectively within a team.
