Responsibilities
- Office Management: Oversee the daily operations of the front office, including greeting visitors, managing the reception area, and answering a high-volume of incoming calls.
- Scheduling & Coordination: Manage executive calendars, schedule meetings, coordinate travel arrangements, and prepare meeting materials.
- Data Entry & Records Management: Maintain accurate and up-to-date digital and physical filing systems. Perform regular data entry tasks and generate reports using MS Office Suite.
- Communication Support: Draft, proofread, and distribute internal and external correspondence, including emails, memos, and newsletters.
- Vendor Management: Handle procurement of office supplies and manage relationships with service vendors (IT, maintenance, etc.).
- Event Coordination: Assist in planning and organizing company events, team building activities, and staff meetings.
Qualifications
- Education: High School Diploma or GED required; Associate’s degree or certificate in Business Administration is a plus.
- Experience: Minimum of 2-3 years of professional administrative or office support experience.
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace; experience with CRM software is preferred.
- Communication: Excellent written and verbal communication skills with a professional telephone manner.
- Organization: Strong organizational skills with the ability to multitask and prioritize tasks effectively in a dynamic environment.
