Responsibilities
- Execute High-Volume Data Entry: Manage and input data into company databases with 99.9% accuracy, ensuring all records are up-to-date and organized.
- Manage Communications: Handle incoming emails, phone calls, and mail, routing inquiries to the appropriate departments or team members promptly and professionally.
- Coordinate Schedules: Schedule appointments, meetings, and travel arrangements for management, ensuring calendars are optimized and conflicts are resolved.
- Document Management: Prepare, edit, and format internal reports, presentations, and documents using Microsoft Office Suite and Google Workspace.
- Administrative Support: Assist with inventory management, process invoices and expense reports, and maintain physical and digital filing systems.
- Office Operations: Order office supplies, manage vendor relationships, and ensure the reception area is presentable and welcoming.
Qualifications
- Education: High School Diploma or GED required; Associate’s degree or equivalent experience preferred.
- Experience: Proven experience (2+ years) as an Administrative Assistant, Receptionist, or in a similar data entry role.
- Technical Skills: Advanced proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and Google Workspace.
- Typing Speed: Exceptional typing speed (45+ WPM) and accuracy is mandatory.
- Organization: Strong organizational skills with the ability to prioritize multiple tasks and meet tight deadlines in a fast-paced environment.
- Communication: Excellent verbal and written communication skills, with a professional demeanor.
