Responsibilities
- Manage and schedule complex calendars, including meetings, appointments, and travel arrangements.
- Process and prepare correspondence, reports, memos, invoices, and other documents.
- Answer and direct phone calls, screen visitors, and manage the front desk reception area with a professional demeanor.
- Assist in data entry and maintaining accurate digital filing systems and databases.
- Coordinate internal and external communications, including email, instant messaging, and video conferencing.
- Prepare meeting materials, take minutes during executive meetings, and distribute action items promptly.
- Support the management team with ad-hoc projects and special events.
Qualifications
- High School Diploma or GED required; Associate’s degree or relevant administrative certification is a plus.
- Minimum of 2 years of experience in an administrative or office support role.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace.
- Excellent verbal and written communication skills with a keen attention to detail.
- Strong time management skills and the ability to prioritize tasks in a fast-paced environment.
- Ability to maintain confidentiality and exercise discretion in all professional matters.
- Flexibility to work occasional overtime or weekends as required.
