Your Role
As our Administrative Assistant, you will be the backbone of our daily operations. You will handle a variety of tasks that require a keen eye for detail and exceptional organizational skills.
Responsibilities
- Calendar Management: Schedule and coordinate meetings, appointments, and travel arrangements for senior management, ensuring calendars are managed efficiently and conflicts are resolved.
- Communication Hub: Serve as the primary point of contact for internal and external inquiries via email and phone; screen and route calls appropriately.
- Document Control: Prepare, proofread, and edit correspondence, reports, memos, and presentations using Microsoft Office Suite.
- Office Operations: Manage office supplies inventory, restock break rooms, and oversee facility maintenance requests to ensure a smooth work environment.
- Event Coordination: Plan and organize company events, team building activities, and client luncheons.
- Data Management: Maintain accurate digital and physical filing systems, including databases and archives.
- Reception Support: Greet visitors, handle front desk duties, and provide general administrative support to the wider team.
Qualifications
- Education: High school diploma or GED required; Associate degree in Business Administration or related field is a plus.
- Experience: Minimum of 3 years of professional administrative experience required.
- Technical Skills: Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook) and Google Workspace.
- Communication: Excellent verbal and written communication skills with a professional demeanor.
- Organization: Proven ability to multitask, prioritize work, and meet strict deadlines in a busy office setting.
- Interpersonal: Strong customer service orientation and the ability to interact professionally with diverse groups.
- Software: Experience with CRM software (e.g., Salesforce, HubSpot) is highly desirable.
