Responsibilities
- Front Desk Management: Greet and welcome all visitors with a warm smile, ensuring a professional first impression.
- Communication Hub: Answer incoming calls, screen them appropriately, and take accurate messages or forward calls to the correct departments.
- Administrative Support: Manage the front office workflow, including handling mail, packages, and coordinating courier services.
- Appointment Scheduling: Maintain and update the company calendar, scheduling appointments and coordinating meeting rooms for weekend events.
- Data Entry: Perform basic data entry tasks, update client databases, and ensure all records are current and accurate.
- Office Maintenance: Monitor the lobby and common areas to ensure cleanliness and a welcoming atmosphere.
- Customer Assistance: Assist visitors with directions and provide general information about our services.
Qualifications
- Experience: Previous experience as a Receptionist or Front Desk Administrator is preferred.
- Availability: Must be available to work weekends (Saturday and Sunday) on a consistent basis.
- Skills: Proficient in Microsoft Office Suite (Word, Excel, Outlook) and basic computer skills.
- Communication: Excellent verbal and written communication skills with a professional phone demeanor.
- Professionalism: Ability to maintain a positive attitude and professional appearance at all times.
- Education: High school diploma or GED required.
- Problem Solving: Ability to handle difficult situations with patience and diplomacy.
