Responsibilities
- Operational Excellence: Manage daily administrative workflows, including mail sorting, facility maintenance coordination, and inventory management for the weekend shift.
- Communication Hub: Act as the primary point of contact for internal teams and external partners via phone and email, ensuring a professional and responsive image.
- Scheduling & Coordination: Handle complex scheduling for management, coordinate meeting logistics, and ensure all weekend events run seamlessly.
- Data Management: Perform accurate data entry, maintain digital and physical filing systems, and generate weekly operational reports.
- Client & Vendor Relations: Assist in preparing presentation materials and managing vendor communications during off-hours.
- Ad-Hoc Support: Support executive leadership with special projects and administrative tasks requiring weekend availability.
Qualifications
- Experience: Minimum of 2 years of experience in administrative support, office management, or executive assistance.
- Availability: Must be available to work weekends (Saturday and/or Sunday) with a flexible schedule.
- Technical Proficiency: Advanced skills in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.
- Communication: Superior verbal and written communication skills; ability to interact confidently with diverse stakeholders.
- Organization: Exceptional attention to detail with a strong ability to prioritize tasks in a fast-paced environment.
- Self-Starter: Ability to work independently with minimal supervision, whether in-office in Seattle or remotely from Virginia.
