What You'll Do
As our Weekend Administrative Assistant, you will be the face of our office during the off-hours. You will ensure that our administrative operations run smoothly and efficiently while maintaining a welcoming atmosphere for any visitors or clients.
Responsibilities
- Front Desk Management: Greet visitors, answer multi-line phones, and manage the reception area with a professional and welcoming demeanor.
- Scheduling: Coordinate calendars, manage meeting room bookings, and send reminders to internal teams for weekend events.
- Record Keeping: Maintain accurate digital and physical filing systems, including document archiving and data entry.
- Communication: Assist in drafting emails, memos, and reports as needed; act as a liaison between departments.
- Office Support: Manage incoming and outgoing mail, handle package deliveries, and perform minor office equipment maintenance.
- Vendor Coordination: Assist with weekend logistics, such as ordering supplies or coordinating with cleaning services.
Qualifications
- Experience: Minimum of 1-2 years of administrative or office support experience.
- Availability: Must be available to work weekends (Friday, Saturday, and Sunday) on a recurring basis.
- Skills: Proficient in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace.
- Communication: Excellent verbal and written communication skills with a professional phone manner.
- Organization: Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.
- Education: High school diploma or GED required; Associate's degree or certification in Office Administration is a plus.
