Responsibilities
- Calendar Management: Manage complex calendars, schedule meetings, coordinate appointments, and handle calendar conflicts with precision.
- Correspondence: Draft, proofread, and distribute professional emails, memos, reports, and documents to internal and external stakeholders.
- Travel Coordination: Arrange domestic and international travel, including itineraries, flight bookings, hotel accommodations, and expense reporting.
- Communication Hub: Handle incoming calls and route inquiries to the appropriate parties; act as the primary point of contact for visitors and clients.
- Meeting Support: Prepare meeting materials, take minutes, and facilitate virtual and in-person meetings.
- Office Administration: Maintain an organized filing system (physical and digital) and monitor office supply levels to ensure seamless operations.
Qualifications
- Education: High school diploma or GED required; Associate’s degree or Bachelor’s degree preferred.
- Experience: Proven experience (2+ years) as an Administrative Assistant or Executive Secretary in a corporate setting.
- Technical Skills: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and CRM software.
- Soft Skills: Exceptional organizational, time management, and multitasking abilities under pressure.
- Communication: Strong verbal and written communication skills with a professional and polished demeanor.
- Adaptability: Ability to thrive in a fast-paced environment and adapt quickly to changing priorities.
