Responsibilities
- Schedule Management: Manage complex calendars, schedule meetings, and coordinate travel arrangements for executive leadership with precision.
- Communication: Serve as the primary point of contact for internal and external stakeholders via email and phone, ensuring clear and professional correspondence.
- Document Preparation: Draft, proofread, and edit reports, memos, presentations, and other business documents using Microsoft Office Suite.
- Data Entry & Records: Maintain accurate and up-to-date electronic and physical filing systems, including client databases and employee records.
- Office Coordination: Order and maintain office supplies, manage inventory, and assist with coordinating office events and team activities.
- Meeting Support: Prepare agendas, take minutes, and distribute meeting notes to ensure all team members are aligned on action items.
- Reception Duties: Greet visitors, screen calls, and direct inquiries to the appropriate departments efficiently.
Qualifications
- Education: High school diploma or GED required; Associate’s degree or administrative certification is preferred.
- Experience: Minimum of 2 years of professional administrative experience in a local business environment.
- Software Proficiency: Advanced skills in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) required; familiarity with CRM software is a plus.
- Communication: Excellent verbal and written communication skills with a professional telephone manner.
- Organization: Superior organizational skills with the ability to prioritize tasks and manage time effectively in a fast-paced setting.
- Attention to Detail: Ability to perform accurate data entry and maintain high standards of documentation.
