Responsibilities
- Front Desk Management: Greet and welcome visitors with a professional demeanor, directing them to the appropriate personnel and managing the reception area to ensure a clean and organized environment.
- Communication Hub: Answer and screen incoming calls with exceptional phone etiquette, take accurate messages, and transfer calls to the correct department or extension.
- Scheduling & Coordination: Manage the company calendar, schedule appointments, and coordinate meeting rooms, ensuring all logistics are handled efficiently.
- Administrative Support: Handle incoming and outgoing mail, process packages, and assist with data entry and filing to maintain accurate records.
- Office Supplies: Monitor office inventory and order necessary supplies to ensure the team has the resources needed to perform their duties.
- Vendor Liaison: Interact with external vendors and service providers, such as cleaning and maintenance staff, to ensure office operations run smoothly.
Qualifications
- Experience: Minimum of 2 years of professional receptionist or administrative support experience in a corporate setting.
- Education: High school diploma or GED required; Associate's degree preferred.
- Technical Skills: Proficient in Microsoft Office Suite (Word, Excel, Outlook) and experience with basic phone systems and office machinery.
- Communication: Superior verbal and written communication skills with a professional telephone voice.
- Professionalism: Ability to maintain a high level of confidentiality and demonstrate excellent customer service skills at all times.
- Time Management: Strong organizational skills with the ability to prioritize tasks and manage time effectively in a fast-paced environment.
