Responsibilities
- Front Desk Operations: Greet and welcome all visitors with a professional and warm demeanor, directing them appropriately and managing the reception area to ensure a pristine and organized appearance.
- Communication Management: Answer, screen, and route incoming calls with exceptional courtesy; manage high-volume call volumes efficiently while maintaining a calm and professional tone.
- Administrative Coordination: Handle incoming and outgoing mail, manage package deliveries, and distribute correspondence promptly to ensure timely internal communication.
- Scheduling & Logistics: Assist with calendar management, meeting room bookings, and coordinate travel arrangements for executives as needed.
- Office Supply Oversight: Monitor inventory levels of office supplies and place orders to ensure the office is always stocked with necessary materials.
- Customer Relations: Address visitor inquiries and provide directions or information to ensure a seamless experience for all stakeholders and guests.
Qualifications
- Education: High school diploma or GED required; additional business administration or receptionist training is a plus.
- Experience: Minimum of 1-2 years of professional receptionist or administrative support experience in a corporate environment.
- Technical Proficiency: Proficient in Microsoft Office Suite (Word, Excel, Outlook) and ability to learn new software systems quickly.
- Communication Skills: Excellent verbal and written communication skills with a polished, professional telephone manner.
- Interpersonal Skills: Strong interpersonal skills with the ability to interact with a diverse range of clients, vendors, and staff members.
- Organization: Demonstrated ability to prioritize tasks, manage time effectively, and handle multiple responsibilities in a fast-paced environment.
