Responsibilities
- Greet and Welcome: Provide a warm, professional greeting to all visitors and direct them to the appropriate person or department.
- Phone Management: Answer, screen, and forward incoming calls in a polite and efficient manner; take accurate messages when necessary.
- Front Desk Operations: Manage the front desk area, ensuring it is tidy, organized, and professional at all times.
- Mail and Delivery: Sort and distribute incoming mail, packages, and deliveries promptly.
- Calendar Management: Assist in scheduling appointments and maintaining the office calendar for management.
- Data Entry: Perform general administrative duties including filing, data entry, and maintaining digital records.
- Customer Service: Address inquiries from clients or visitors in person or via email with a high degree of professionalism.
Qualifications
- Education: High school diploma or GED required; Associate's degree or certification in Office Administration is a plus.
- Experience: Minimum of 1-2 years of professional receptionist or administrative support experience.
- Skills: Proficient in Microsoft Office Suite (Word, Excel, Outlook) and ability to learn new software quickly.
- Communication: Excellent verbal and written communication skills with a professional telephone manner.
- Interpersonal: Strong customer service orientation with the ability to interact with people from diverse backgrounds.
- Organization: Exceptional organizational skills with the ability to multitask and prioritize tasks effectively.
- Availability: Must be available to work full-time hours, including occasional evenings or weekends if required.
