Responsibilities
- Front Desk Management: Serve as the primary point of contact for visitors, clients, and vendors, ensuring a professional and welcoming reception area.
- Phone Operations: Answer and screen incoming calls, take accurate messages, and route calls to the appropriate departments or personnel promptly.
- Administrative Support: Manage incoming and outgoing mail, package deliveries, and distribute correspondence efficiently.
- Scheduling & Calendar: Assist in scheduling appointments, meetings, and conference room bookings using digital calendars.
- Data Entry: Maintain accurate records of visitors, update contact databases, and assist with general office documentation.
- Event Coordination: Assist in coordinating office events, meetings, and refreshments as needed.
Qualifications
- Experience: Previous experience as a receptionist or in a customer service role is preferred but not required for immediate hire.
- Communication: Superior verbal and written communication skills with a polite and professional demeanor.
- Technical Proficiency: Must be proficient in MS Office Suite (Word, Excel, Outlook) and familiar with modern office equipment.
- Professionalism: Ability to maintain confidentiality and exercise sound judgment in a busy office environment.
- Availability: Ability to work full-time hours, including occasional evenings or weekends if necessary.
- Education: High school diploma or GED required.
