Responsibilities
- Front Desk Management: Greet visitors and clients with a professional demeanor, manage the reception area, and direct inquiries to the appropriate departments efficiently.
- Data Entry: Input, verify, and maintain accurate data in company databases and spreadsheets with a focus on speed and error reduction.
- Phone Support: Answer incoming calls, screen and route them appropriately, and take accurate messages for staff members.
- Scheduling & Coordination: Manage calendars, schedule appointments, and coordinate meeting rooms and logistics for internal teams.
- Administrative Support: Handle incoming and outgoing mail, process invoices, and assist with general office errands as needed.
- File Management: Organize physical and digital files to ensure easy retrieval and compliance with company protocols.
Qualifications
- Education: High school diploma or GED required; Associate’s degree in Business Administration or related field is a plus.
- Experience: Minimum of 1-2 years of experience in a receptionist or administrative support role.
- Skills: Proficient in Microsoft Office Suite (Excel, Word, Outlook) and experience with data entry software.
- Attention to Detail: Strong ability to spot errors and ensure data accuracy in all tasks.
- Communication: Excellent verbal and written communication skills with a professional telephone manner.
- Reliability: Ability to work full-time, Monday through Friday, with a strong focus on attendance and punctuality.
