Responsibilities
- Front Desk Management: Greet and direct visitors with a professional and welcoming demeanor; answer and manage multi-line phone systems efficiently.
- Data Entry Operations: Accurately and efficiently enter, update, and maintain company databases, records, and spreadsheets with a focus on speed and error reduction.
- Administrative Support: Handle incoming and outgoing mail, prepare meeting packages, and manage calendars for executives.
- Client Relations: Assist clients with inquiries, resolve issues professionally, and ensure high levels of customer satisfaction.
- Office Maintenance: Maintain the reception area, conference rooms, and common areas to ensure a tidy and organized environment.
- Document Management: Scan, file, and organize physical and digital documents according to company protocols.
Qualifications
- Experience: Minimum of 1-2 years of experience in a receptionist or administrative support role.
- Data Entry Skills: Proven ability to type accurately at a high speed (40+ WPM) with exceptional attention to detail.
- Software Proficiency: Advanced proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with CRM software is highly preferred.
- Communication: Excellent verbal and written communication skills, with a professional phone etiquette.
- Organization: Strong organizational skills with the ability to prioritize tasks and manage time effectively in a fast-paced environment.
- Education: High school diploma or GED required; Associate's degree in Business Administration is a plus.
