Responsibilities
- Front Desk Management: Greet visitors, answer multi-line phones professionally, and direct inquiries to the appropriate departments.
- Data Entry: Perform high-volume data entry tasks with a focus on accuracy and speed using Microsoft Office Suite and internal database systems.
- Record Keeping: Maintain and update client databases, filing systems, and digital archives to ensure information is current and accessible.
- Scheduling: Manage calendars, schedule appointments, and coordinate meeting rooms for internal teams.
- Communication: Handle incoming and outgoing mail, including couriers and FedEx packages, ensuring timely delivery.
- Customer Service: Address client inquiries via email and phone with a professional and friendly demeanor.
Qualifications
- Education: High school diploma or equivalent required; Associate’s degree or certification in office administration is preferred.
- Experience: Proven experience in reception, administrative support, or data entry roles is highly desired.
- Technical Skills: Advanced proficiency in Microsoft Excel, Word, and Outlook; experience with CRM software is a plus.
- Typing: Exceptional typing speed (minimum 45 WPM) and attention to detail.
- Soft Skills: Strong interpersonal skills, excellent verbal and written communication abilities, and a professional demeanor.
- Availability: Ability to work full-time hours, Monday through Friday.
