Responsibilities
- Front Desk Management: Greet and welcome visitors with a professional and friendly demeanor, ensuring they feel valued immediately upon arrival.
- Phone Support: Answer incoming calls professionally, screen them, and route them to the appropriate department or individual.
- Administrative Assistance: Handle incoming and outgoing mail, manage the company fax machine, and perform basic data entry tasks.
- Scheduling: Manage the appointment calendar for senior staff, scheduling meetings and coordinating conference rooms as needed.
- Office Supplies: Monitor office inventory and reorder supplies to ensure the office is always fully stocked.
- Event Coordination: Assist in organizing company events, lunches, and staff gatherings, including setting up the venue and catering arrangements.
- Customer Service: Address visitor inquiries or complaints promptly and escalate complex issues to the management team.
Qualifications
- Experience: Minimum of 1-2 years of experience in a receptionist or administrative support role is preferred.
- Communication: Excellent verbal and written communication skills with a professional phone manner.
- Software Proficiency: Must be proficient in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace.
- Organization: Strong attention to detail and the ability to multitask in a fast-paced environment.
- Professionalism: High level of integrity and the ability to maintain confidentiality of sensitive information.
- Flexibility: Ability to work a part-time schedule (e.g., 20-25 hours per week) including some evenings or weekends as required.
- Education: High school diploma or GED required; Associate's degree in Business Administration or related field is a plus.
