- Front Desk Management: Greet and welcome visitors professionally, determine their purpose, and direct them to the appropriate staff member.
- Phone Operations: Answer incoming calls with a polite and helpful tone, screen calls, and take accurate messages or forward calls to the correct department.
- Mail Handling: Sort and distribute incoming mail, packages, and faxes efficiently to the relevant departments.
- Appointment Scheduling: Manage the company calendar, schedule appointments, and send reminders to clients and staff.
- Administrative Support: Assist with data entry, filing, and maintaining office supplies inventory.
- Customer Service: Address client inquiries in person or via email with a high level of professionalism and efficiency.
- Office Maintenance: Keep the reception area tidy, organized, and welcoming at all times.
Qualifications
- Experience: Previous experience as a receptionist or in a customer service role is preferred but not required for immediate consideration.
- Education: High school diploma or GED is required.
- Skills: Proficient in Microsoft Office Suite (Word, Excel, Outlook) and basic computer skills.
- Communication: Excellent verbal and written communication skills with a professional telephone manner.
- Reliability: Ability to work a part-time schedule with flexibility, including some evenings or weekends if needed.
