Responsibilities
- Calendar Management: Expertly manage complex calendars, scheduling appointments, meetings, and coordinating travel arrangements while prioritizing conflicting demands.
- Document Control: Prepare, proofread, and distribute professional correspondence, reports, memos, and presentations with a keen eye for detail.
- Communication Liaison: Serve as the primary point of contact for phone and email inquiries, filtering messages and escalating critical issues to management immediately.
- Record Keeping: Maintain accurate and up-to-date digital and physical filing systems, including data entry, expense reporting, and inventory tracking.
- Event Coordination: Assist in planning and logistics for company events, team meetings, and client gatherings to ensure smooth execution.
- Office Administration: Manage office supplies, process invoices, and handle general clerical tasks to ensure a productive workspace.
Qualifications
- Experience: Minimum of 2 years of professional administrative experience required.
- Education: High School Diploma or GED; Associate’s degree in Business Administration is a plus.
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace.
- Communication: Superior written and verbal communication skills with the ability to interact with clients and staff professionally.
- Organization: Demonstrated ability to multitask, prioritize tasks, and manage time effectively in a fast-paced setting.
- Availability: Ability to work part-time hours (approx. 20-25 hours per week) with flexibility for occasional overtime.
