Responsibilities
- General Administration: Manage the front desk reception, answer incoming calls professionally, and greet visitors with a welcoming demeanor.
- Documentation: Prepare, organize, and maintain physical and digital files; perform accurate data entry and document management.
- Communication: Draft and proofread internal and external correspondence; facilitate clear inter-departmental communication.
- Scheduling: Coordinate meetings, schedule appointments, and manage the executive calendar to ensure no conflicts arise.
- Office Support: Order and inventory office supplies, manage incoming and outgoing mail/courier services, and handle expense reports.
- Event Coordination: Assist in organizing company events, team meetings, and travel arrangements.
Qualifications
- Education: High School Diploma or GED required; Associate’s degree or certification in Office Administration preferred.
- Experience: Minimum of 1-2 years of experience in an administrative or office support role.
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with scheduling software.
- Interpersonal Skills: Excellent written and verbal communication skills with a strong customer-service orientation.
- Organization: Strong ability to multitask and prioritize tasks effectively in a dynamic setting.
- Reliability: Punctual, dependable, and able to maintain strict confidentiality.
