Responsibilities
- Front Desk Management: Oversee the reception area during night hours, ensuring a welcoming and professional atmosphere for all late-night visitors and employees.
- Communication Hub: Answer incoming phone lines, screen calls, and relay messages promptly to ensure seamless internal communication.
- Visitor Management: Verify the identity of all guests and visitors, sign them in/out of the building, and issue visitor badges as required.
- Mail & Package Handling: Sort and distribute incoming mail, packages, and deliveries to the appropriate departments or personnel.
- Security Oversight: Monitor building access points and assist in ensuring the safety and security of the facility during non-business hours.
- Administrative Support: Perform light data entry, maintain night shift logs, and assist with other general office duties as needed.
- Vendor Liaison: Coordinate with late-night service vendors (e.g., cleaning, maintenance) and ensure their access is managed correctly.
Qualifications
- Experience: Minimum of 1-2 years of professional receptionist or front desk experience.
- Availability: Must be available to work rotating night shifts (e.g., 10:00 PM - 6:00 AM or similar).
- Education: High School Diploma or GED required; Associate’s degree preferred.
- Skills: Proficient in Microsoft Office Suite (Word, Excel, Outlook) and basic office equipment.
- Communication: Exceptional verbal and written communication skills with a professional and polite demeanor.
- Problem Solving: Ability to handle sensitive situations with discretion and solve minor administrative issues independently.
- Professionalism: Strong work ethic and the ability to remain calm and focused during quiet periods.
