Responsibilities
- Manage multi-line phone systems and screen/direct incoming calls with precision
- Greet and register clients/visitors during evening hours with exceptional service
- Coordinate executive calendars and manage complex scheduling for leadership teams
- Maintain secure visitor protocols and issue access badges for after-hours personnel
- Process incoming/outgoing mail and manage confidential documentation
- Coordinate office services including supply inventory and equipment maintenance
- Act as emergency liaison during off-hours for critical communications
Qualifications
- Minimum 2 years professional receptionist or customer service experience
- Expertise in Microsoft Office Suite and phone system technologies
- Exceptional verbal/written communication and conflict resolution skills
- Ability to maintain composure under pressure during high-traffic periods
- Valid California driver's license and reliable transportation
- Flexibility to work weekends and holidays as required
- Proficiency in bilingual communication (Spanish preferred)
