Responsibilities
- Communication Management: Handle high-volume incoming calls, emails, and inquiries during night operations, ensuring all messages are logged and routed to the appropriate departments.
- Data Entry & Filing: Perform accurate data entry, digitize physical records, and maintain an organized digital filing system for overnight reports.
- Scheduling & Coordination: Manage shift schedules for the night team, handle shift handovers, and coordinate logistics for early morning staff arrivals.
- Report Generation: Compile daily operational metrics and generate concise reports to be distributed to the morning leadership team.
- Facility Security: Monitor building security systems, manage keycard access logs, and conduct nightly facility walkthroughs to ensure safety.
- Supply Management: Monitor office supply levels and place orders for night shift consumables as needed.
- General Admin: Assist with light bookkeeping tasks, such as processing invoices and expense reports.
Qualifications
- Education: High school diploma or GED required; Associate's degree preferred.
- Experience: Minimum of 2 years of administrative support experience.
- Availability: Must be available to work a rotating night shift schedule (e.g., 10:00 PM - 6:00 AM or 11:00 PM - 7:00 AM).
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with CRM software.
- Soft Skills: Exceptional attention to detail and strong organizational skills.
- Communication: Ability to communicate clearly and professionally, both verbally and in writing.
- Reliability: Proven track record of punctuality and dependability.
