Responsibilities
- Front Desk Management: Greet and welcome visitors with a professional demeanor, answer multi-line phone systems, and direct calls appropriately.
- Communication: Handle incoming and outgoing correspondence, including emails and mail, ensuring timely responses.
- Administrative Support: Schedule appointments, manage calendars, and organize meeting rooms for internal and external stakeholders.
- Data Entry: Maintain accurate records in the CRM system and update client information as needed.
- Office Operations: Monitor office supplies, coordinate with vendors for maintenance, and ensure a clean and organized reception area.
- Customer Service: Assist guests with inquiries and resolve any issues professionally to ensure high satisfaction.
Qualifications
- Education: High school diploma or GED required; Associate’s degree preferred.
- Experience: Minimum of 1-2 years of professional receptionist or administrative experience.
- Skills: Proficient in Microsoft Office Suite (Word, Excel, Outlook) and basic accounting software.
- Communication: Excellent verbal and written communication skills with a friendly and professional tone.
- Organization: Strong time management skills and the ability to prioritize tasks in a fast-paced environment.
- Reliability: Must be available to work full-time hours, Monday through Friday, with occasional flexibility.
