Responsibilities
- Manage the front desk reception area, greeting visitors and directing them appropriately with a professional demeanor.
- Handle incoming and outgoing mail, packages, and deliveries with accuracy and timeliness.
- Prepare and organize meeting rooms, including arranging catering, setting up audio-visual equipment, and distributing materials.
- Assist in the preparation of monthly reports, expense reports, and data entry using Microsoft Office Suite.
- Maintain and update the company contact database and filing systems, ensuring records are organized and confidential.
- Order office supplies and manage inventory to ensure the workspace is well-stocked.
- Support the HR department with recruitment coordination, including scheduling interviews and preparing new hire packets.
Qualifications
- High school diploma or GED required; Associate’s degree in Business Administration is a plus.
- Proven experience (1-2 years minimum) in an administrative or office support role.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and basic computer skills.
- Excellent verbal and written communication skills with a professional phone manner.
- Strong organizational skills with the ability to prioritize tasks and meet deadlines in a busy environment.
- Ability to work independently with minimal supervision while being a collaborative team player.
- Must be located in or willing to commute to Boston, MA.
