Responsibilities
- Calendar Management: Schedule, coordinate, and manage complex calendars for senior management, including booking meetings and handling conference room logistics.
- Communication Hub: Serve as the primary point of contact for incoming calls and emails, routing inquiries to the appropriate team members promptly.
- Document Control: Prepare, proofread, and distribute internal memos, reports, and presentations with a high degree of accuracy.
- Travel Coordination: Arrange domestic and international travel itineraries, including flights, hotels, and ground transportation.
- Data Management: Maintain and update databases, records, and filing systems to ensure information is easily accessible and secure.
- Event Planning: Assist in organizing company events, team-building activities, and client meetings, ensuring all logistics are executed flawlessly.
Qualifications
- Education: High school diploma or GED required; Associate’s degree or Bachelor’s degree in Business Administration preferred.
- Experience: Minimum of 2-3 years of progressive experience in an administrative or executive assistant role.
- Technical Skills: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with CRM software (e.g., Salesforce, HubSpot) is a plus.
- Organizational Skills: Exceptional ability to prioritize tasks, manage time effectively, and handle multiple deadlines simultaneously.
- Communication: Excellent verbal and written communication skills with a professional and polished demeanor.
