Responsibilities
- Manage executive calendars and coordinate complex scheduling across multiple time zones
- Prepare and distribute confidential correspondence, reports, and presentation materials
- Oversee office operations including supply inventory, vendor relationships, and facility maintenance
- Serve as primary point of contact for internal and external stakeholders via phone and email
- Coordinate virtual and in-person meetings, including agenda preparation and minute-taking
- Maintain digital filing systems with strict adherence to data privacy protocols
- Assist with onboarding processes and new hire orientation materials
Qualifications
- 3+ years of administrative experience with demonstrated flexibility in scheduling
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
- Exceptional organizational skills with attention to detail and accuracy
- Strong written and verbal communication abilities
- Experience with calendar management software (e.g., Calendly, Doodle)
- Ability to work independently with minimal supervision
- Associate's degree or equivalent administrative certification preferred
- Proven ability to maintain confidentiality in sensitive environments
