Responsibilities
- Calendar & Travel Management: Manage complex executive calendars, schedule meetings, and coordinate domestic and international travel arrangements.
- Communication Hub: Serve as the primary point of contact for incoming calls and emails, screening inquiries and directing messages to the appropriate team members.
- Document Management: Prepare, edit, and proofread correspondence, presentations, and reports with meticulous attention to detail.
- Office Operations: Maintain office supplies inventory, arrange for repairs, and oversee basic facility management tasks.
- Event Coordination: Organize company events, team meetings, and client hospitality initiatives.
- Data Entry & Reporting: Maintain accurate digital and physical records, including expense reports and timesheets, and generate weekly activity reports.
Qualifications
- Experience: Minimum of 2-3 years of experience in an administrative or executive assistant role.
- Software Proficiency: Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace.
- Communication: Excellent verbal and written communication skills with a professional and polished demeanor.
- Organization: Exceptional time management skills with the ability to prioritize tasks and meet tight deadlines in a high-volume environment.
- Problem Solving: Strong problem-solving abilities and the initiative to anticipate needs before they arise.
- Education: High school diploma or equivalent; Associate’s degree or certification in Office Administration is a plus.
