Responsibilities
- Manage complex calendars, schedule executive meetings, and coordinate domestic and international travel arrangements with precision.
- Prepare and edit correspondence, presentations, and confidential reports, ensuring all documentation is accurate and professional.
- Act as the primary point of contact for internal and external stakeholders, managing phone calls, emails, and correspondence with a polished demeanor.
- Organize and maintain both physical and digital filing systems to ensure the efficient retrieval of critical business information.
- Coordinate departmental events, client meetings, and team-building activities to foster a collaborative and positive company culture.
- Process invoices, expense reports, and payroll documentation in a timely and fully compliant manner.
- Assist in the onboarding process for new hires and facilitate ongoing training schedules.
Qualifications
- Proven experience as an Administrative Assistant, Executive Assistant, or in a similar role (3+ years preferred).
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace.
- Exceptional verbal and written communication skills with the ability to articulate ideas clearly and professionally.
- Strong organizational and time-management abilities with the capacity to prioritize multiple competing tasks effectively.
- Associate’s or Bachelor’s degree in Business Administration or a related field is highly desirable.
- Ability to maintain strict confidentiality and exercise sound judgment in sensitive situations at all times.
- Flexibility to adapt to changing priorities and occasional evening or weekend work as needed.
