Responsibilities
- Front Desk Operations: Greet and welcome all visitors and clients with a professional and friendly demeanor, ensuring they feel valued.
- Phone Management: Answer incoming calls promptly, screen them appropriately, and take accurate messages or transfer calls to the correct departments.
- Mail & Distribution: Sort, open, and distribute incoming mail and packages efficiently to the appropriate offices.
- Administrative Support: Perform light data entry, maintain filing systems, and assist with basic scheduling and calendar management.
- Office Maintenance: Keep the reception area, lobby, and common areas clean, organized, and presentable at all times.
- Visitor Management: Sign in guests and ensure proper security badges are issued where necessary.
Qualifications
- Education: High school diploma or GED is required.
- Computer Skills: Basic proficiency with computers and Microsoft Office Suite (Word, Excel, Outlook).
- Communication: Excellent verbal and written communication skills with a clear and pleasant phone voice.
- Organization: Strong attention to detail and the ability to multitask in a fast-paced environment.
- Attitude: A positive attitude, reliability, and a willingness to learn new administrative procedures.
- Availability: Ability to work full-time hours, including some evenings if required.
