Responsibilities
- Schedule Management: Manage complex calendars, schedule meetings, coordinate travel arrangements, and prepare itineraries for executive staff.
- Communication: Serve as the primary point of contact for incoming inquiries via phone, email, and in-person, filtering and redirecting messages as appropriate.
- Document Management: Draft, proofread, and edit correspondence, reports, memos, and presentations; maintain and organize digital and physical filing systems.
- Event Coordination: Plan and organize company events, conferences, and team-building activities, ensuring all logistics are executed flawlessly.
- Office Operations: Oversee office supply inventory, manage vendor relationships, and handle basic accounting tasks such as expense reports and invoice processing.
- Research: Conduct market research and prepare briefing materials for internal stakeholders to support decision-making processes.
Qualifications
- Education: High school diploma or GED required; Associate’s degree or Bachelor’s degree in Business Administration or related field preferred.
- Experience: Minimum of 2-3 years of professional administrative experience in a corporate or fast-paced office setting.
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with CRM software (e.g., Salesforce, HubSpot) is a plus.
- Communication: Excellent verbal and written communication skills with a professional and polished telephone manner.
- Organization: Superior organizational skills with the ability to multitask and prioritize tasks effectively in a high-pressure environment.
