Responsibilities
- Calendar & Scheduling: Manage complex calendars for executive leadership, schedule meetings, coordinate conference rooms, and send out relevant reminders to all participants.
- Communication Management: Screen and route incoming calls and emails, draft professional correspondence, and ensure timely responses to internal and external stakeholders.
- Travel Coordination: Plan and arrange domestic and international travel itineraries, including flights, accommodations, and ground transportation.
- Document Management: Prepare, edit, and proofread reports, presentations, and other business documents with a high degree of accuracy.
- Office Operations: Maintain office supplies inventory, manage filing systems (both digital and physical), and handle expense reports.
- Event Coordination: Assist in organizing company events, team meetings, and client reception activities.
Qualifications
- Experience: Minimum of 2-3 years of experience in an administrative support or executive assistant role.
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with CRM software (e.g., Salesforce, HubSpot).
- Communication: Excellent verbal and written communication skills with a professional and polished tone.
- Organization: Strong ability to multitask, prioritize work under pressure, and manage time effectively.
- Adaptability: Ability to work independently and adapt to changing priorities in a fast-paced environment.
- Education: High school diploma or equivalent required; Associate’s degree or certification in Business Administration is a plus.
