Responsibilities
- Manage Communications: Handle incoming phone calls, emails, and correspondence during night hours, ensuring all inquiries are routed to the appropriate departments promptly.
- Data Management: Perform accurate data entry, maintain digital filing systems, and update client records with the highest level of precision.
- Scheduling & Coordination: Assist in scheduling meetings, coordinating shifts for support staff, and managing calendar events to ensure seamless operations.
- Reporting: Compile daily logs, prepare night shift reports, and assist with monthly reconciliations and expense tracking.
- Office Support: Oversee inventory management of office supplies and ensure the workspace is clean, organized, and fully operational for the next shift.
- Vendor Liaison: Communicate with external vendors and service providers as needed to resolve any issues arising during the night shift.
Qualifications
- Experience: Minimum of 2 years of experience in an administrative or office support role.
- Availability: Must be available to work the Night Shift (e.g., 10:00 PM - 6:00 AM or similar).
- Technical Skills: Proficient in Microsoft Office Suite (Word, Excel, Outlook) and comfortable learning new software quickly.
- Communication: Excellent verbal and written communication skills with the ability to interact professionally with all levels of staff.
- Organization: Strong attention to detail and exceptional time management skills to prioritize tasks effectively.
- Education: High School Diploma or GED required; Associate’s degree or certification in Office Administration is a plus.
