Responsibilities
- Manage Daily Operations: Oversee the daily administrative functions of the department, ensuring smooth workflow and efficient communication channels.
- Data Management: Accurately input, update, and maintain complex databases and records in compliance with company policies.
- Communication Hub: Act as the primary point of contact for internal and external stakeholders via phone, email, and instant messaging during night hours.
- Scheduling & Coordination: Coordinate meetings, travel arrangements, and event logistics, including calendar management and reminder systems.
- Reporting & Analysis: Prepare detailed reports, financial summaries, and performance metrics for leadership review the following morning.
- Document Control: Handle confidential documents with discretion, including filing, scanning, and archiving important files.
Qualifications
- Experience: Minimum of 2-3 years of experience in an administrative or office support role.
- Availability: Must be available to work the night shift (e.g., 10:00 PM – 6:00 AM) on a full-time basis.
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.
- Communication: Excellent verbal and written communication skills with a professional telephone manner.
- Attention to Detail: Strong organizational skills with the ability to multitask and prioritize tasks effectively in a fast-paced environment.
- Education: High school diploma or GED required; Associate’s degree or certification in Business Administration is a plus.
