Responsibilities
- Manage Communications: Monitor and respond to emails, voicemails, and inquiries during the night shift to ensure 24/7 coverage for the department.
- Data Management: Perform accurate data entry, update digital filing systems, and maintain organized records for quick retrieval.
- Scheduling: Coordinate and manage complex calendars for department leadership, including booking conference rooms and scheduling night shift meetings.
- Reporting: Prepare and compile routine reports, invoices, and correspondence for management review before the start of the business day.
- Office Support: Assist with inventory tracking, supply management, and light facilities coordination to ensure the office runs smoothly.
- Vendor Liaison: Handle basic logistics and communication with external vendors or delivery services as needed.
Qualifications
- Education: High School Diploma or GED required; Associate’s degree in Business Administration or related field is preferred.
- Experience: Minimum of 1-2 years of professional administrative support experience, preferably in a fast-paced environment.
- Availability: Must be available to work rotating night shifts (e.g., 6:00 PM to 2:00 AM).
- Technical Skills: Proficient in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace.
- Communication: Excellent verbal and written communication skills with the ability to convey information clearly and professionally.
- Organization: Strong attention to detail and superior time management skills to prioritize tasks effectively.
