Responsibilities
- Manage Communications: Handle high-volume incoming calls, emails, and correspondence, ensuring all inquiries are addressed promptly and professionally.
- Data Entry & Records: Accurately input, update, and maintain digital records and databases; generate and file nightly reports.
- Schedule Coordination: Manage the office calendar, schedule meetings, and coordinate travel arrangements for leadership.
- Document Management: Proofread and format documents, contracts, and presentations for internal distribution.
- Inventory & Supplies: Monitor office supply levels and place orders as needed to ensure the facility operates efficiently.
- Access Control: Monitor building access logs and security systems to maintain a safe environment.
Qualifications
- Education: High School Diploma or GED required; Associate’s degree or relevant administrative certification is a plus.
- Experience: Minimum of 1-2 years of experience in an administrative support role.
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and basic knowledge of data management software.
- Work Hours: Must be available to work night shifts (e.g., 10:00 PM - 6:00 AM or 11:00 PM - 7:00 AM).
- Soft Skills: Exceptional attention to detail, strong organizational skills, and the ability to work independently with minimal supervision.
- Communication: Excellent verbal and written communication skills.
