Responsibilities
- Schedule Management: Coordinate complex calendars, schedule meetings, and manage conference room bookings to ensure optimal time management.
- Communication: Handle incoming and outgoing communications, including email, phone calls, and internal correspondence, acting as the primary point of contact for clients and staff.
- Document Preparation: Draft, proofread, and edit correspondence, reports, presentations, and other business documents with a high degree of accuracy.
- Travel Coordination: Arrange domestic and international travel itineraries, including flights, accommodations, and ground transportation.
- Data Management: Maintain and update electronic and physical filing systems, databases, and records to ensure information is easily accessible.
- Event Support: Assist in organizing company events, team building activities, and internal meetings, including logistics and attendee coordination.
- Office Administration: Oversee office supplies inventory, process invoices, and assist with general office upkeep to maintain a productive workspace.
Qualifications
- Education: High school diploma or GED required; Associate’s degree or relevant business certification is a plus.
- Experience: Proven experience as an Administrative Assistant, Executive Assistant, or in a similar office support role.
- Technical Skills: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace; experience with CRM software is preferred.
- Communication: Excellent verbal and written communication skills with the ability to interact professionally with all levels of staff and clients.
- Organization: Strong organizational skills with the ability to prioritize tasks effectively and meet tight deadlines.
- Flexibility: Ability to adapt to changing schedules and work in a hybrid or remote environment.
