As a Full-Time Administrative Assistant, you will serve as the first point of contact for our office, ensuring smooth communication and efficient workflow management. You will be responsible for a variety of tasks ranging from data entry and document preparation to scheduling and coordinating meetings. Responsibilities
- Manage and organize complex calendars, schedule meetings, and coordinate travel arrangements for executive staff.
- Prepare and distribute professional correspondence, reports, and presentations using MS Office Suite.
- Handle incoming calls and emails, responding promptly and directing inquiries to the appropriate team members.
- Process invoices, maintain accurate financial records, and assist with accounts payable/receivable tasks.
- Organize and maintain physical and digital filing systems to ensure information is easily retrievable.
- Assist in planning and coordinating company events, office parties, and team building activities.
- Perform other general office duties as needed to support the smooth functioning of the department.
Qualifications
- High school diploma or equivalent; Associate’s degree in Business Administration or related field is preferred.
- Minimum of 2-3 years of proven experience in an administrative or office support role.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent verbal and written communication skills with a professional telephone manner.
- Strong organizational skills with the ability to prioritize tasks and meet strict deadlines.
- Attention to detail and a high level of accuracy in data entry and document management.
- Ability to work independently with minimal supervision while collaborating effectively with a team.
