Responsibilities
- Calendar & Scheduling: Manage complex calendars, schedule meetings, coordinate travel arrangements, and prepare itineraries for senior executives.
- Communication Hub: Serve as the primary point of contact for incoming calls and emails; screen and route inquiries professionally.
- Document Management: Prepare, edit, and distribute correspondence, reports, and presentations with a focus on accuracy and formatting.
- Event Coordination: Plan and organize company events, team meetings, and client receptions, including catering and logistics.
- Data & Records: Maintain electronic and physical filing systems, update databases, and assist with basic bookkeeping tasks.
- Office Operations: Monitor office supplies, manage vendor relationships, and ensure the reception area is welcoming and organized.
Qualifications
- Experience: Minimum of 2-3 years of professional administrative support experience.
- Education: High school diploma or GED required; Associate’s degree preferred.
- Technical Skills: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with CRM software is a plus.
- Communication: Excellent verbal and written communication skills with a professional telephone manner.
- Organization: Exceptional time management skills with the ability to prioritize multiple tasks effectively.
- Local Knowledge: Must be based in or willing to commute to the Chicago area for in-person attendance.
