Responsibilities
- Manage departmental calendars, scheduling appointments, and coordinating complex logistics for staff and external partners
- Prepare and distribute official correspondence, reports, and meeting minutes with precision and confidentiality
- Oversee office inventory procurement, maintenance, and budget tracking for administrative supplies
- Provide comprehensive support to department heads including document management, travel arrangements, and expense processing
- Serve as primary point of contact for internal/external stakeholders, handling inquiries with professionalism
- Coordinate community outreach events, including venue setup, attendee registration, and post-event documentation
- Maintain digital filing systems ensuring compliance with municipal record-keeping standards
Qualifications
- Minimum 3 years of progressive administrative experience in public sector or municipal environments
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and Google Workspace
- Exceptional organizational skills with demonstrated ability to manage competing priorities
- Strong written and verbal communication skills with attention to detail in all deliverables
- Knowledge of Oakland municipal processes and public sector protocols preferred
