Responsibilities
- Front Desk Management: Greet and welcome visitors in a professional manner, directing them to the appropriate personnel or area.
- Phone Support: Answer multi-line phones with a polite and helpful tone, screening calls and taking accurate messages.
- Administrative Support: Handle incoming and outgoing mail, faxes, and packages with efficiency and care.
- Data Entry: Maintain accurate records of visitor logs, appointments, and incoming correspondence using office software.
- Office Maintenance: Ensure the reception area is tidy, organized, and stocked with necessary supplies.
- Schedule Coordination: Assist in scheduling appointments and managing the daily calendar for department heads.
- Customer Service: Address inquiries from clients and guests in a timely and professional manner.
Qualifications
- Experience: Previous experience as a Receptionist, Front Desk Coordinator, or in an administrative support role is preferred.
- Availability: Must be available to work weekends (Friday, Saturday, and Sunday) consistently.
- Communication: Excellent verbal and written communication skills with a professional demeanor.
- Technical Proficiency: Proficient in Microsoft Office Suite (Word, Excel, Outlook) and basic computer operations.
- Organization: Strong attention to detail and the ability to manage multiple tasks simultaneously.
- Education: High school diploma or GED required.
- Professionalism: Ability to maintain a positive and professional image at all times.
