Responsibilities
- Manage executive calendars, coordinate complex meetings, and arrange travel logistics for senior leadership
- Prepare and edit confidential documents, reports, and presentations with meticulous attention to detail
- Oversee office supply inventory, vendor relationships, and facility maintenance requests
- Serve as primary point of contact for internal and external communications, demonstrating exceptional professionalism
- Coordinate departmental projects, track deadlines, and maintain organized filing systems
- Support onboarding processes by preparing new hire materials and conducting office orientations
- Analyze administrative workflows and implement efficiency improvements
Qualifications
- Minimum 5 years of progressive administrative support experience in a corporate or nonprofit setting
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and Google Workspace
- Exceptional written and verbal communication skills with polished business etiquette
- Strong organizational abilities with proven experience managing competing priorities
- Associates or Bachelor's degree in Business Administration or related field preferred
- Experience handling confidential information with discretion and professionalism
- Ability to work independently and collaboratively in a hybrid environment
- Knowledge of Chicago business community and local administrative practices preferred
